Reporting directly to the HR Director, the Payroll Specialist will be responsible for processing payroll, remitting payroll taxes and government reporting as well as preparing payroll statements. The incumbent will ensure compliance with government regulations.  

 

Job Responsibilities:

Payroll Processing:

  • Calculate and verify employee salaries, benefits, and deductions in strict adherence to company policies and legal regulations.
  • Efficiently and accurately process payroll transactions for all employees. 
  • Ensure timely and accurate data entry of payroll records, including employee details, timesheets, and attendance. 
  • Prepare comprehensive summary reports detailing earnings, taxes, deductions, and non-taxable wages for internal and external stakeholders. 
  • Compile payroll data for compliance with regulatory requirements and internal audits. 

 

HRIS and Data Management:

  • Utilise the HR Information System (HRIS) to input, manage, and maintain employee data. 
  • Collaborate with the rest of HR team to ensure accurate and up-to-date employee records within the HRIS.
  • Generate insightful reports from HRIS data to provide valuable insights for decision-making.
  • Regularly audit HRIS data to identify and rectify discrepancies or inaccuracies. 
  • Assist with HR Dashboard 

 

System Integration and Process Improvement: 

  • Actively participate in the implementation and integration of new payroll systems and upgrades. 
  • Collaborate with cross-functional teams to ensure seamless integration of HRIS and payroll systems.
  • Contribute to process improvement initiatives aimed at streamlining payroll procedures and enhancing data accuracy.  

 

Employee Support & Collaboration:

  • Address employee inquiries and concerns related to payroll promptly, professionally, and in compliance with company policies. 
  • Assist employees with accessing and understanding their payroll information through self-service systems. 
  • Work closely with the Finance team to resolve payroll-related matters, reconcile financial data, and ensure accurate financial reporting. 
  • Collaborate with HR, Finance, and IT teams to troubleshoot and resolve any system-related issues affecting payroll processing. 

 

Regulatory Compliance:

  • Stay updated on payroll regulations, tax laws, and Employment Act standards to ensure accurate payroll processing and adherence to legal requirements. 
  • Ensure payroll-related practices align with evolving regulatory guidelines. 

 

Ad-hoc:

  • Generate ad-hoc reports as required by management, Finance, and HR. 
  • Any other task assigned. 

 

Requirement:

  • Minimum 5 years of proven experience in payroll processing and HRIS management. 
  • At least a Diploma in Human Resources, Business Administration, Finance, or related field. 
  • Strong attention to detail for precise payroll management. 
  • Strong understanding of payroll regulations, tax laws, and employment standards. 
  • Team player with excellent collaboration skills. 
  • Excellent attention to detail and data accuracy. 
  • Strong analytical and problem-solving skills. 
  • Ability to handle sensitive and confidential information with discretion.
  • Proactive approach to process improvement and system optimisation.
